SA & Subscription Invoices - Self Service Guide

This guide walks you through how to generate a Software Assurance (SA) or Subscription quotation and manage invoices directly on the Peresoft website.

Part 1: Generating a Quotation

Step 1: Log In to the Website

Open your web browser and go to www.peresoft.com. Enter your Dealer ID and password in the login area. These are the same credentials you use when placing orders on the website.

If you cannot remember your Dealer ID or password, use the "Forgot" links on the login page. If you are still unable to log in, contact Peresoft support.

Step 2: Go to Client SA/Subscriptions

Once logged in, look at the navigation menu at the top of the page. Click on SA/Subscriptions and then select Client SA/Subscriptions from the dropdown menu.

You will land on a filter page. You can choose which client to view and adjust filters such as whether to show expired or unexpired products, or a specific expiry date range. When you are ready, click Submit.

Step 3: Review the Client's Product List

After submitting, you will see a list of the client's registered products. Each row shows the product details including the serial number, product name, version, activation code, and SA expiry date. Review the list to confirm which products the client needs to renew.

Step 4: Scroll to the Bottom and Select the Number of Months

Scroll all the way to the bottom of the product list page. You will see a No of Months dropdown field. This controls how many months the renewal quotation will cover. The default is 12 months. You can change this to any value between 1 and 24 months depending on what your client requires.

Important: You must select the number of months BEFORE clicking the quotation button. Changing the months dropdown automatically updates the quotation link to use the correct renewal period.

Step 5: Click "Get Software Assurance Quotation"

Once you have selected the correct number of months, click the Get Software Assurance Quotation button. If the client's product is a Subscription product rather than a standard SA product, the button will say Get Subscription Quotation.

You will be taken to the quotation page, which displays the full renewal details including the client's information, the products being renewed, the pricing, and the new expiry date.

Step 6: Review and Submit the Quotation

Check all the details on the quotation page carefully - client name, address, product details, pricing, and the renewal period. When everything is correct, click Submit.

The system will generate the quotation, send it by email, and create an invoice record that you can then find and manage in the SA/Subscription Invoices section.

Part 2: Finding and Managing Invoices

Step 7: Go to Software Ass./Subscription Invoices

Click on SA/Subscriptions in the top menu and select Software Ass./Subscription Invoices from the dropdown. You will see a search page where you can filter invoices by type, status, date range, or client. Set your filters and click Submit to see the results.

Step 8: Open an Invoice

The results page shows a list of invoices with the invoice number, status, client name, invoice date, expiry date, and amount. Click on the invoice number (shown in blue) to open the full invoice.

Step 9: Review the Invoice

The invoice detail page shows the complete invoice - client information, all product line items, pricing, tax, and the total amount due. From this page you can:

  • Use the checkboxes to include or exclude specific products from the invoice.
  • Use the checkbox labelled Invoice Dealer if the dealer is making the payment, and use Deduct Comm if a commission deduction is required.
  • Download or print the invoice as a PDF.
  • Email the invoice to your client directly from within the system.
  • Process payment via PayFast (credit card payments are also supported).

Step 10: Send the Invoice to Your Client

Scroll to the bottom of the invoice page to find the Administration section. This is where you send the invoice to your client by email. Before sending, do the following:

  • If you changed any product checkboxes, click Update Quote first to recalculate the totals before the invoice is sent.
  • You can edit the email subject line if needed.
  • You can add a personal note or message to include in the email.
  • Confirm the client's email address is correct before sending.

When everything looks correct, click Submit. The invoice will be emailed to your client automatically.

Step 11: Resend or Forward an Invoice

If you need to resend an invoice to your client - for example as a payment reminder, or to forward it to a different email address - simply open the existing invoice and scroll to the bottom Administration section. In the Administration section you will find the following fields:

  • Add to Email subject: You can customise the subject line, for example "Reminder to pay: SA Invoice - 123456".
  • Comment: Optionally add a note or reason for resending, which will be included in the email body.
  • Email invoice to: Enter or update the email address you want to send the invoice to.

Once you have filled in the relevant fields, click Submit. The invoice will be emailed immediately to the address you specified.

Processing Time Guidelines

After submitting a request, please allow the following business day processing times:

Standard invoice requestsUp to 24 hours
